For the worldwide teacher beta

Closed Beta Terms

Participation terms for the small, free, invitation-only beta, open to teachers worldwide.

Closed Beta v1.2 · 27 October 2026

1. About these terms

These terms govern participation in the closed beta of Chalkmarks.

Chalkmarks is currently operated by Caelum Mero, trading as Chalkmarks, in Jersey.

Contact: support@chalkmarks.app

By creating a Chalkmarks beta account or using the beta after being given these terms, you agree to these terms.

2. Who may use the beta

The first closed beta is available only to invited users who:

  • are aged 18 or over; and
  • use Chalkmarks in a personal capacity as a teacher or education professional.

Participation is open worldwide and is not restricted to Jersey.

The beta is not being supplied to schools as an official record-keeping system, management system or employer monitoring tool.

3. What chalkmarks is for

Chalkmarks is a private teacher memory and professional-identity app. It is intended to help you save meaningful teaching moments, Thank You memories and short reflections, and to rediscover those memories later.

It is not designed to replace:

  • safeguarding systems;
  • behaviour or disciplinary systems;
  • medical or SEND records;
  • pupil assessment or attainment records;
  • formal school records;
  • statutory reporting systems; or
  • professional advice or emergency services.

You remain responsible for using the appropriate school or professional system for information that belongs there.

4. Pupil and third-party information

Do not enter pupil names or other identifying pupil information into Chalkmarks.

Do not upload photographs containing pupil faces, names, signatures, school records or other identifying details.

Do not use Chalkmarks to store safeguarding disclosures, medical or health information about pupils, SEND information, disciplinary information, allegations, or other sensitive or official pupil records.

Before uploading a photo, check it for names, faces, signatures and identifying details.

Only upload content that you are entitled to keep for your own personal reflection and that does not unlawfully infringe another person’s privacy, confidentiality, copyright or other rights.

5. Your account

Your account is personal to you. You must not knowingly give another person access to your account or use another tester’s account.

You are responsible for taking reasonable steps to keep your sign-in credentials and devices secure.

If you believe someone else has accessed your account, contact support@chalkmarks.app.

6. Your content

You retain ownership of the content you create or upload to Chalkmarks.

You give Chalkmarks the limited permission necessary to store, transmit, display, sync and otherwise technically process that content solely so that Chalkmarks can provide and protect the service, fulfil your requests and operate the beta.

Chalkmarks does not acquire ownership of your memories or Thank You content by storing them.

Private Chalkmark content is not made public by the beta and is not provided to your school or employer as part of the product.

7. Beta software

Chalkmarks is experimental software under active development.

Features may change, break, be removed or behave unexpectedly. The beta may be temporarily unavailable and may contain defects, including defects that affect saving, syncing, display, notifications or data.

Do not use Chalkmarks as the only copy of information that is legally, professionally or personally critical. For the first closed beta, Chalkmarks does not currently maintain an independent off-provider backup of the production database or private photo files, so recovery from accidental loss cannot be guaranteed.

We will take reasonable care in operating the beta, but participation is for testing and validation rather than reliance as a production school system.

8. Photos

Photos are optional.

Where you add a photo, you are responsible for checking it before upload and ensuring it does not contain pupil-identifying or otherwise inappropriate information.

The current archive export does not package copies of original photo files. Keep your own copy of any photo you do not want to lose.

9. Reminders and resurfacing

Capture reminders are optional and can be controlled by you.

Chalkmarks may resurface one of your previously saved memories using its internal resurfacing rules. You can use the available controls to manage resurfacing, including excluding a memory from future automatic resurfacing where that feature is offered.

Chalkmarks does not require daily use and does not use streaks, points or other compulsory engagement mechanics.

10. Privacy

Use of the beta is subject to the Chalkmarks Closed Beta Privacy Notice.

Optional Chalkmarks product analytics are disabled for the first closed beta. Technical, authentication, security and reliability information may still be processed where required to operate and protect the service.

11. Export and deletion

You can use the current archive-export feature to obtain structured JSON data from your Chalkmarks archive. The export does not currently include copies of the original photo files.

The in-app Permanently delete your archive function is archive-only: it deletes archive content within its stated scope but does not delete the underlying authentication identity/email login.

A separate in-app Delete account action requests full account deletion. Once accepted, Chalkmarks is designed to remove that account’s Chalkmarks database data, private Storage objects/photos and authentication identity, with retry handling if a deletion step is interrupted. You can contact support@chalkmarks.app if the in-app process does not complete as expected or if you have a deletion question.

12. Support and feedback

For beta support, bug reports, privacy questions or deletion requests, contact support@chalkmarks.app.

When reporting a bug, do not email pupil names, pupil-identifying information or screenshots containing identifiable pupils or sensitive school information.

If you choose to provide product feedback, Chalkmarks may use that feedback to improve the product. This does not give Chalkmarks permission to use your private memory content for unrelated purposes.

13. Intellectual property

The Chalkmarks software, branding, interface, artwork and other product materials belong to the operator or its licensors, except for content owned by users or third parties.

These terms give you a limited, personal, revocable right to use the closed beta for its intended purpose. They do not transfer ownership of Chalkmarks intellectual property to you.

14. No fee for the first closed beta

The first closed beta is provided without charge.

No future price, subscription model or continued free access is promised by these terms. If Chalkmarks later introduces paid access, separate terms or notice will be provided before payment is required.

Existing beta memories will not deliberately be deleted merely because a future paid model is introduced, although future access/export arrangements may be governed by later terms disclosed at the time.

15. Suspension or ending participation

You may stop using the beta at any time.

Chalkmarks may suspend or end beta access where reasonably necessary for security, misuse, legal compliance, serious technical problems or closure of the beta.

Where practical, if the beta is being closed generally, testers will be given reasonable notice and information about available export and deletion options.

16. Responsibility and liability

Nothing in these terms excludes or limits liability where doing so would be unlawful, or removes any statutory rights that cannot lawfully be excluded.

Because Chalkmarks is a free closed beta, you acknowledge that the service is experimental and should not be relied on as an official school record or as the sole copy of important information.

To the extent permitted by law, Chalkmarks is not responsible for indirect or consequential losses arising from use of the beta where those losses were not reasonably foreseeable when you joined the beta.

17. Changes to the beta or these terms

We may update the beta or these terms as testing progresses.

If a change to these terms is material, we will make the updated version available and, where appropriate, ask you to accept the new version before continuing to use the beta.

18. Governing law

These terms are governed by the laws of Jersey.

Nothing in this clause prevents you from exercising rights you have under applicable consumer or data-protection law.
